From Sample to Shipment: How Our Company Exports a Pair of Shoes?

In today’s increasingly interconnected global footwear trade, every pair of shoes that crosses national borders and enters the world market is backed by a rigorous, professional, and efficient export process. As an enterprise with years of experience in the footwear export industry, we have always centered on customer needs. From the initial sample communication to the final shipment, every link is refined to ensure that each pair of shoes can be delivered to customers on time and in good quality. Today, we will take you through the entire process to reveal the key steps involved in exporting a pair of shoes from sample to shipment, and how to steadily advance each link to achieve efficient and compliant export delivery.

1. Requirement Communication and Sampling

Our foreign trade team conducts in-depth communication with clients through multiple rounds to fully understand their core requirements, including shoe style, material, size range, color matching and other specifications.

For clients with existing design plans, our team will quickly evaluate drawings or reference samples, assess the feasibility of materials and craftsmanship, provide professional suggestions, and confirm the development plan.For clients with unclear design concepts, we will proactively offer a range of potential hot-selling styles or previous customization cases based on their market positioning and target price, helping them finalize product direction efficiently.

Once the design plan is approved, we will confirm the schedule and arrangement for sample making with the client.Generally, the sample lead time is about 2–3 weeks, though the exact duration may vary slightly depending on the complexity of the shoe style.

2. Sample Confirmation and Order Confirmation

Once the client receives the samples and confirms they are correct, the order is officially signed. Normally, we confirm the cooperation details and sign a Proforma Invoice (PI), which includes product specifications, quantity, unit price, delivery time, packaging requirements and other relevant information. A dedicated team is assigned to follow up on order progress to ensure smooth execution.

Regarding the deposit payment, the deposit percentage and payment method are determined based on various factors such as client type, order value, and cooperation history.

Upon order confirmation, we will promptly launch the production plan. The general delivery lead time is 5–7 weeks, which may be adjusted according to order quantity, complexity and other specific conditions. Our goal is always to ensure that every order is delivered on time as much as possible while maintaining high quality.

3. Manufacturing Execution

Once the order is confirmed and all selected and qualified raw materials are in place, we enter the third and most critical stage: converting samples into mass production. This is also our core process for product quality control.

Production then officially commences, which mainly includes:

· Cutting & Material Preparation: Efficient cutting of shoe uppers in accordance with standard templates.

· Upper Production & Technical Support: Shoe uppers are completed through cutting, sewing, hot pressing, screen printing, shaping and other processes as per design requirements.

· Final Assembly: Shoes are assembled using methods such as cold bonding, lasting or slip-on construction.

Multiple quality control points are established throughout production:

· Incoming Quality Control (IQC)

· In-Process Quality Control (IPQC)

· Final Quality Control (FQC)

Our professional QC team inspects each pair of shoes one by one at the finished product stage to ensure that the appearance, size and functions meet the required standards.

For packaging, we support custom packaging services. Shoe boxes, labels, color stickers, outer cartons and other packaging materials can be designed according to customer requirements.

After packaging is completed, finished products will be stored in the warehouse and managed uniformly by the warehouse management department. Shipment and delivery will be arranged promptly as per customer instructions.

4. Loading and Export Shipment

After mass production is completed and passes final quality inspection, the finished shoes will be sorted and packed in accordance with the customer’s requirements. Each pair of shoes is individually packaged to prevent damage during transit, and then placed into standard export cartons. The cartons are clearly marked with product name, order number, quantity, weight, destination and other information for easy loading, unloading and customs inspection. We will track the shipping status in real time and promptly handle any unexpected issues that may arise during transportation.

We confirm the delivery terms (such as FOB, CIF, EXW, etc.) with the customer during the quotation stage, and arrange transportation either through our long-term cooperative freight forwarders or the customer’s designated freight forwarder.

Prior to shipment, we will provide complete and standardized export documents, including but not limited to:

· Commercial Invoice

· Packing List

· Customs declaration information and other documents specified by the customer.

After shipment, we will promptly send the Bill of Lading (B/L) or other shipping documents to the customer by mail or email, so that the customer can arrange subsequent customs clearance and delivery, ensuring a smooth order process from production to delivery.
